We use a flat pricing model for Form 1042 e-filing. The fee you pay is based on the service option for the current tax year, not on how many 1042-S Forms you issued or how many payees you have. That means there are no surprise charges if your volume ends up being higher than expected.
Each package is designed to cover a standard Form 1042 filing engagement for one withholding agent for the tax year. The price includes access to our secure online platform, built-in validation checks, electronic preparation of Form 1042, transmission through the IRS Modernized e-File system, and access to your filing records in the client portal. If you have an unusually complex structure or special requirements, we can review your situation and let you know in advance whether a custom quote is needed.
Yes, there is a minimum fee, which is simply the flat price of the package offered for the filing season. You do not need to meet any minimum number of forms or a specific filing volume to use our service. Whether you have a small number of payees or a more complex operation, the same clearly posted flat pricing applies.
The reason for the minimum fee is that every Form 1042 engagement includes a core set of work. That work includes account setup, configuration of your withholding agent profile, access to the Form 1042 application, validation and reconciliation checks, and secure transmission to the IRS. The minimum ensures that we can deliver a high standard of service for every client, regardless of size.
Your Form 1042 service price includes access to our web-based application, where you enter the information required for the return using a structured, step-by-step process that follows the IRS form. As you work, the system performs validation checks and basic reconciliations so that common issues can be identified before filing. Once you are ready to submit, the platform generates the Form 1042 file in the format required for IRS Modernized e-File.
The price also covers secure transmission of the return to the IRS after the required signature authorization form is completed, plus storage of your filed return and IRS acknowledgments in your client portal. Standard support is included to help you understand system messages and filing status. More advanced consulting, cleanup of prior year issues, or custom reporting can be quoted separately when needed so you only pay for additional services that are truly necessary.
The flat fee covers the initial preparation and electronic transmission of your original Form 1042 return.
If a return has already been accepted and you later discover that the reported information was incomplete or incorrect, that situation usually requires an amended Form 1042. Amendments involve additional work, including identifying the changes, updating the reported data, and preparing a separate amendment submission for the IRS Modernized e-File system. For that reason, amendments are billed as an additional service.
If you receive an IRS notice or identify an error after acceptance, we can review the situation, explain your options, and provide a clear outline of any additional fees before you proceed.
To place an order, start by calling us at (480) 706-6474 to discuss your filing needs. We will collect some basic contact information and then send you an onboarding form that gathers the additional details required for your engagement, including your organization information, the tax year, and any other contacts who may assist with the filing. We will also collect payment information at this stage. Once your order is received, we create or update your account and send email instructions explaining how to log in and begin entering your Form 1042 data.
From there, you work through the application at your own pace. The system calculates totals automatically so you can verify that the numbers look correct before submission. When everything is ready, you approve the return for e-file and complete the required signature authorization form. After that step is finished, we transmit the return through the IRS Modernized e-File system and post the IRS acknowledgment to your client portal when it becomes available.
Once you decide that we are the right fit, the next step is to submit payment authorization. Payment is what triggers our team to create or update your account so we can grant access to your customer portal and the SaaS application. Completing payment early also helps avoid delays near the deadline and ensures that your filing can be submitted as soon as you finish data entry and review. Many clients choose to complete payment authorization at the same time they call us, which allows everything to be in place well before March 15.
We accept standard business payment methods such as major credit cards and ACH. Wire transfers are available when needed but tend to be slower and more expensive. If your organization requires a purchase order or an internal approval process, we recommend starting that step early in the filing season. Having payment arrangements finalized in advance ensures that your account can be activated promptly and your Form 1042 filing can move forward without interruption.
Form 1042 is due to the IRS by March 15 for the prior calendar year, but we encourage clients to begin the process well before that date. Entering and reviewing your data early gives you time to work through system validation messages, reconcile totals with your internal records, and resolve any questions about treaty positions or exemption claims before the deadline pressure sets in.
Waiting until the last few days before March 15 leaves very little room to deal with unexpected issues such as missing information, rejected transmissions, or internal approval delays. By starting early and using our platform throughout the season, you give yourself more time to verify your numbers, obtain signatures, and file with confidence, which reduces the risk of late filing penalties or rushed corrections.
